IMPORTANT: Cochain Books' services are sold exclusively to parents and legal guardians. We do not offer our services directly to children, and we do not knowingly collect personal information directly from children. All data relating to the child author is collected from and managed by an adult on the child's behalf.
1. Who This Policy Is For
This Children's Privacy Policy is a supplement to our main Privacy Policy and addresses specifically how Cochain Books handles information relating to minor children (under the age of 18) in compliance with the Children's Online Privacy Protection Act (COPPA) and other applicable US privacy law.
If you are a parent or legal guardian who has engaged Cochain Books to publish your child's story, this policy explains your rights and our obligations regarding your child's personal data.
2. Our Services Are for Parents, Not Children
Cochain Books is a service sold to and contracted with parents and legal guardians only. Our website, marketing, and communications are directed exclusively at adults. We do not:
• Market our services directly to children.
• Allow children to create accounts or submit information on our website.
• Solicit personal information from children through our website or any digital platform.
• Use cookies or tracking technologies to target advertising at children.
All contracts, payments, and communications are handled with the parent or legal guardian. The child is the creative author of their story but is not a party to any commercial or data relationship with Cochain Books.
3. What Information We Collect About Children
In the course of producing a child's book, we collect the following information about the minor author — all provided by the parent or guardian:
• First name (used as the author name on the published book, subject to privacy preferences selected by the parent).
• Age (used to ensure the story is appropriate for the intended reading age).
• General physical description (hair, skin tone, eye colour, distinguishing features — used to brief the illustrator on character appearance).
• Photographs (provided by the parent as illustration references for the child's character).
• The child's original story (in text, voice recording, or handwritten form — provided by the parent on the child's behalf).
We do not collect the child's surname, date of birth, school name, address, contact details, social media profiles, or any other personal information beyond what is necessary for book production.
4. How We Use Children's Information
Information relating to the child author is used exclusively for the following purposes:
• To brief the assigned illustrator on the character's appearance for illustration purposes.
• To ensure the editing and story-polishing process preserves the child's creative voice.
• To produce the published book with the child's name as author, subject to the parent's privacy preferences.
We do not use children's information for advertising, marketing profiling, AI training, analytics, or any purpose unrelated to production of the specific book project.
5. Parental Consent
By signing the Parental Consent & Publicity Release Form at the start of each project, the parent or legal guardian provides explicit consent for:
• The use of the child's photographs as illustration references.
• The use of the child's name as author on the published book.
• Optional: the use of the child's name and image in Cochain Books' marketing materials (Full Publicity, Limited Privacy, or Full Privacy options).
Parents can choose their privacy preference level at the start of the project. The default position — if no preference is stated — is Full Privacy: no identifying information about the child will be used in any marketing material.
6. Disclosure to Third Parties
Children's personal information is shared only as follows and never for commercial gain:
• Assigned Illustrator: Receives photographs and physical description under a signed Non-Disclosure Agreement. Prohibited from retaining, sharing, or using this information for any other purpose. Required to delete all materials within 90 days of project delivery.
• Amazon KDP / IngramSpark: The child's author name (as chosen by the parent) and book description are shared with these platforms as part of the publishing process. No photographs or sensitive personal data are shared with these platforms.
We never sell, rent, share, or disclose children's personal information to advertisers, data brokers, social media platforms, or any other third party.
7. Data Retention & Deletion
Children's personal data is retained as follows:
• Reference photographs: Permanently deleted within 90 days of project completion. Parents may request immediate deletion at any time.
• Story files and creative assets: Retained in archived form to allow for reprints or new editions at the parent's request. May be deleted on written request at any time after project completion.
• Author name on published book: Once published on Amazon and IngramSpark, the child's author name is part of the public book record and cannot be retrospectively removed by Cochain Books — parents would need to contact those platforms directly for such requests.
8. Parental Rights Under COPPA
As the parent or legal guardian, you have the following rights under COPPA and applicable US privacy law:
• Right to Review: You may request to review any personal information we have collected about your child by emailing info@cochainbooks.com.
• Right to Delete: You may request deletion of your child's personal information at any time, subject to our legal record-keeping obligations. We will delete reference photographs and creative assets within 10 business days of a valid deletion request.
• Right to Refuse or Withdraw Consent: You may withdraw consent for any optional use of your child's information (such as marketing) at any time by emailing info@cochainbooks.com with 30 days' written notice.
• Right to Object: You may object to any processing of your child's data that you believe is inconsistent with this policy.
To exercise any of these rights, please email info@cochainbooks.com with the subject line: Children's Data Request — [Your Project ID]. We will respond within 10 business days.
9. Security of Children's Data
We apply heightened security measures to children's personal data, including:
• Reference photographs and story files are stored in password-protected, restricted-access cloud folders accessible only to the assigned production team.
• All contractors who access children's data are bound by signed Non-Disclosure Agreements with specific provisions covering minor authors.
• We use encrypted file transfer methods when sharing materials with contractors.
• We conduct a manual review of all project files upon completion to ensure reference photographs are scheduled for deletion within the 90-day window.
10. If You Believe a Child's Data Has Been Collected Without Consent
If you believe that Cochain Books has inadvertently collected personal information from or about a child without the appropriate parental consent, please contact us immediately at info@cochainbooks.com. We will investigate and take appropriate action, including deletion of the relevant data, within 5 business days.
11. Updates to This Policy
We may update this Children's Privacy Policy from time to time to reflect changes in law or our practices. The most current version will always be published at www.cochainbooks.com/coppa with the updated date noted at the top.
