To create your personalized heirloom book, we collect the following:

  • Contact Information: Name, email address, and phone number.

  • Creative Assets: Photos of your child (for "Bespoke Avatar" creation) and audio/text recordings of their stories.

  • Transaction Data: Payment details processed through our secure third-party payment gateways.

2. How We Use Child Photos

Photos provided to Cochain Books are used exclusively as artistic references for our Lead Illustrator.

  • The Alchemist Process: Photos are shared only with the specific design team assigned to your project.

  • No Facial Recognition: We do not use your photos for facial recognition databases or AI training.

  • Transformation: Once the hand-drawn avatar is finalized, the original photo serves no further purpose in our production pipeline.

3. Data Retention & Deletion

  • Working Files: We retain creative assets for the duration of the 6–10 week production timeline.

  • Archiving: Once your book is published, we archive the final digital book files to allow for future re-prints at your request.

  • Deletion: Original reference photos are deleted from our active production servers within 90 days of project completion unless you request earlier deletion.

4. Third-Party Service Providers

We partner with established global leaders to fulfill your order:

  • Printing & Distribution: Data required for shipping and ISBN registration is shared with Amazon KDP and IngramSpark.

  • Secure Payments: We never store your credit card information on our servers; all transactions are handled by encrypted, PCI-compliant processors.

5. Social Media & Portfolio Usage

We love celebrating our young authors! However, we will never feature your child’s likeness, name, or story on our website or social media without your explicit written consent. If you choose to share your story with the Cochain community, you may opt-out at any time.

6. Your Rights

Under the "True Authorship" model, you have the right to:

  • Request a copy of the data we hold about you.

  • Request the immediate deletion of reference photos.

  • Update or correct any personal information.

7. Security Measures

As a Strategic Visionary led studio, we implement industry-standard security protocols to protect your data from unauthorized access, including encrypted file transfers and restricted access to creative folders.
